How to Try and Speed up Grant Process

Hey there - I got some queries revolving around timing of the process, how applicant should go about the Australia Visa process so that things works well and fast, if possible. Many do not agree that there's anything that we can do from our side which may help in getting Australia Grant early! I, however, think differently!

I believe in logic of process when you have applied Visa after getting the invite - as this write up is based on how the Australia migration process flows, so if you are not aware of the same or want to know anything about migration process then check Process of getting PR for Australia

Now, after you have got invited and lodging the visa - steps to be done at your end are:
1. Filling up the form after clicking the 'Apply Visa' button
2. Paying the fees - at this point, you visa application is marked as submitted, not before paying the fees.
3. Logging in at the eVisa page and uploading the documents required.
4. Uploading the PCC
5. Getting done with Meds
6. Provide any missing doc or information asked by CO

For CO (Case Officer) - these are the steps; as we know it (not the fact):
1. Checking the points claimed by applicant and for what reasons.
2. Checking if the documents provided prove all the claimed points plus PCC (plus Form 80 or 1221 if required by CO).
3. CO asking anything missing from step 2
3. If CO deems necessary, asks for additional documents for proving the claimed points.
4. Checking the medical received and finalized status.
5. If medical missing - ask the applicant for the same.
6. Waiting for applicant's mail on asked documents for 28 days (maximum) from request
7. Checking the provided document
8. Giving the grant.

If you see - a whole other cycle will be involved if applicant misses any document from its side before getting CO allocated - which puts CO in waiting stage and most probably onto another case/applications. Now, if documents are provided after CO asks for them, it will still take CO a while to find time or logical halt at another case to get back to your application. Some COs, as applicants reported, would not check the provided documents until 28 days is not over (limit given for providing the documents)!
To avoid all these delays it is highly advised to provide all documents before CO is allocated!

I did this - uploaded each and everything before CO was on my case!
Even the form 80 (for all applicants in my application) - I uploaded it prior to assignment of CO; for 2 reasons:
1. I knew the form was big, hence wanted to give myself time to fill it right!
2. When I had form 80 as filled, so thought why not upload it also - to save the wait cycle period.

So, these are the things that can be followed to try and get your grant early; as by doing so - you remove several steps from the process as given above; hence shorter time - ta-daa. Its not rocket science, its just that you are making things easier for yourself and for CO also, who'll be happy if you have everything in place!

If you are going via agent, some agent tell these things - which are NOT true:
1. You should wait for CO to ask you before going for medicals.
2. You should wait for CO to ask you before starting PCC process.
3. You should wait for CO to ask you before completing and uploading Form 80.

These are not true; although in some countries, you can not go for PCC without getting the request for the same by CO - as they do not provide PCC without a letter from CO asking the same; then you would obviously have to wait!
Also, doing medicals as soon as possible would help getting medical finalized soon in case (God forbids) your medical is referred to MOC, for more information on this - check Migration Medical Page.

Hope this helps in correcting some wrong myths.

  2. I have a strange case here and I need your advice admin :)
    I got my invitation in 17/12/2012 then it was lodged and acknowledged in 18/12. After that, I uploaded all relevant documents including pcc. The problem is that I called DIAC and asked whether a CO is allocated or not and they told me that a CO is allocated (team 7) in 21/2/2013, since that day I have not been contacted by my CO, not even once.I arranged my medicals in 1/5/2013 and uploaded a bank statement in 5/5 (status changed to received in 6/5) but still no contact, called DIAC 3 times and each time they told me that everything is ok and I have to be patient. I am from Syria (high-risk country) so I guess it will take a long time, what makes me is that I don't know who is my CO till now is is it normal for a CO not to contact me after this whole period (nearly 5 months)????

    1. Hi,
      Its seriously weird. Did you ask DIAC operator for CO's number or to patch through to him.
      Even if you have been put to external checks then you should be told so! Do call DIAC again and ask to talk to CO or atleast give information on why there's no response.
      Also - do keep checking inbox and spam/bulk mail folder too!

    I would appreciate you feedback
    I have applied and uploaded all docs required.Last week, CO get assigned and request for the recept for the emdicals. I sent them by email and asking if he could confirm it it is aceptable by imm. He replies stating that prcosessing time for VISA is 12 months even though I have never asked him that. I write him again to say if he could either confirm that my docs are corerect. He writes back confirming it and again stating that processing time is 12 months.
    I wonder why he would remind me of 12 months even I have not asked. Is isto ensure I do not bother him till May 2014, as in his coping strategy.

      Which visa category? 189 or 190 or?
      That, I believe, is just a standard reply - if you meds are cleared then you would get the grant quite soon. You can ask your CO if meds are cleared or referred to get some clear picture on timing.

    PLease help me with my problem

    I got a Invite yesterday for VISA 189, problem is my wife and baby don't have passport
    Although i have booked an appointment for passport in India but still it is gonna take around 60 days since my appointment is on 10 of September.
    And i have to apply for VISA in 60 days. please help me??

    Also if possible can anybody provide a walk-through of the information that is needed to be entered while lodging visa or screenshots...I googled a lot but can't find anything for lodging VISA....there are loads of information on applying for EOI but nothing for lodging VISA

    1. Hey buddy,
      You can start to apply your visa - leave things like PCC and meds to be uploaded and wait for getting a CO. When CO is assigned - he would ask you to upload pcc and meds and any other document that he needs. Then you can tell him about your situation and he can put your application on hold until your wife and kids passport is processed - and when it happens you can upload required documents and start the processing of visa again.
      Regarding lodging of Visa - its not that difficult, it asks for your information - nothing tricky but just long.. so start it, you will know what to fill.

      I wanted to know that while lodging visa do i need to enter passport details of my wife and baby or just their name will do???

      If passport no is not required in lodging visa then i can add them along with my application and until the CO is assigned i will have their passports by that time....

      Is it worth taking this risk or should i play safe and apply just myself in application and once i get their passports add them by sending the form 1022 and informing the CO about my situation????

      If external security check is identified, I believe it would be started when it's identified. And when the result of the same is positive then rest of the co processing will continue.

    To start with as there couple of changes last year July 2012 onwards..I have couple of queries if you will be able to guide , would be thankful to you..

    A brief about my background..
    1)Age 39 years / MBA (Marketing) / Btech(Chemical) ( Business Analyst ) experience 13 years with an IT consulting major in India
    2)Wife 39 PGDM / MSc experience of 13 years in Marketing and Sales with MNCs here in India

    I would want to know with above info what is the difference between Visa Type 189 and 190 .

    What are the points required for the visa qualification.

  7. Hi Admin,

    I filed my case on 28th Aug, 190 with WA sponsorship and haven't assigned a case officer yet. I did upload all the documents but was thinking to go for PCC and Medicals once he ask. But after reading your suggestions I'll go for it and hopefully will be assigned case officer. Its been like 6 weeks since I applied, shall I do something or wait for response? I've been to Immi.gov but they haven't given any e-mail address to write to nor any form to fill in to get feedback.
    Also I have read they ask for payslips and bank statement, I am on unpaid leave for couple of certifications, is it ok or shall I need to produce some document for that as well... lol.. just worried.

    1. Hi Sade,
      Basically what we need to do is to get any and all documents that might be needed through the process. For PCC , tricky thing is that the date when pcc is given impacts the first entry date but not as cases are completed quite soon so that should not be a problem. I would say go for PCC. If you're in job then you need to provide documents. If you're not the I believe you would be required to just give reason.

    First off, Kudos to you for putting up such a valuable site and answering questions with very valuable info. I have a question to ask.
    I've lodged my application in 2009 and although I did quality for priority processing, I preferred applying it as a normal application at the time as I did not want to migrated sooner. I have now received an email from the Immigration asking me to provide additional documents, namely; PCC, Medical etc. It was also mentioned that I have not been allocated a CO yet and it would take around 12 months to be allocated with one and providing these documents now do not fast track allocation of a CO. My application is on Priority category 5.
    There has been some changes to my status since I lodged the application.
    1. Got married
    2. Wife is 4 months pregnant
    3. Got promoted at work

    My question is, should I go ahead and submit visa application for my wife now, stating that she is 4 months pregnant along with all other supporting documents? Alternatively I could provide all documentation once our baby is born March 2014. (My wife also cannot take x-ray now due to her condition)

      Basically if you want to include your wife you would have to wait for your kid to be born. And I guess you would want to include your wife.

    1. Hi,
      Plan your PCC such that you have it with you when you get the invite. If you're not sure of your invitation date then it's your call. As obtaining it early may effect your first entry date as I have described in my article.
      For PCC, yes I believe that you need to have pcc for all the countries where you've stayed for twelve months or more.

    I am invited to subclass 189 and i am in the process of completing the application. Everybody advices me to attach scanned documents now before the CO asks for them. Unfortunately, I can't login to e-visa application. Is it because i haven't yet paid and submitted the application?

    1. You would only be able to attach documents when you have paid the fees. Only when you have paid, your all application is considered submitted.

  11. hi we filed for PR, attached all documents, paid fees, but i did not understand this form 80 and 1221. is that the old system or still we have to do it? for the PCC the CO should give us request. other than australian PCC we cannot get india fro indian embassy here in singapore or singapore PCC without the request letter. will that delay our process

  13. Hi Admin thank you for this valuable post. I have lodged my application for 189 on 21st October. I am an Australian graduate and have completed all documents including medicals and police clearance report. I came across Form 80. I don't think I have printed the form off and attached the scanned copies of the form into my application. Should I also attach that form so that it expedites my process. Can you please tell me what the rough time lines for grant is nowadays? I haven't been allocated a case officer yet and it is excactly 4 weeks today. Thanks a lot in advance

  14. I have few queries in regards to the Applying for Visa,

    1) I have more than 11 years of experience and ACS assessed experience after May 2006 as relevant and I have claimed point after May 2006 in EOI.

    Query :-

    a) Do i need to provide proofs only for the points I am claiming in EOI that means after May 2006. ( Proof -- Payslip, IT return , Form 16 etc) or rest of the experience as well.

    b) Do I need to send the all the docs( Reference letters, org chart) provided to ACS or after May 2006 experience only.

    c) TO ACS, In one of the doc company name was mentioned incomplete. And have shown experience letter to ACS to get it resolved.

    Do i need to send the same doc to DIAC which i shared with ACS or I can send the amended doc scanned and notarized again.

    d) In EOI there is page where we need to provide countries last visited (10 yeras) and we need to provide details.

    I have been travelling a lot in previous organization for business trips ( ranging from couple of days to couple of months)

    It will be very difficult to provide the complete and exact dates.

    e) For passport scanned copy , Do we need scanned all the stamped pages and visa pages. Or just the first two and last page.

    f) My degree is accessed as AQF bachelor major in computing, I should be able to claim 15 points. Just want to reconfirm.

    I am little worried as visa fees is too much for me to risk.

    I got the invitation for my 190 visa application on 23-Oct-2013 and paid the application fees on 13-Nov-2013. Now I am uploading all the documents I have. My last date of submitting application is 22-Dec-2013. I still have some pending documents need to upload. Among them my wife's IELTS, PCC and Medical are main. Can I upload this document (IELTS, PCC, Medical) even after submitting my application by 20-Dec-2013?

    Medicals can be uploaded later on, even you will have 28 days after your application date expired. PCC if not available before i think it can also be uploaded with in 28 days of application submiting, as you will be assigned a case officer after 28 days who will examine your documents, so better is upload all desired documents before co assigned. regarding IELTS of your wife, i could not understand why you needed that. is she primary candidate or secondary? . or have you claimed any points of her education. ?

    1. I needed to upload my wife's IELTS, because she will need the proof of functional english. However finally I have uploaded all the needful docs asked by CO and my last day was 17-Feb-2014. CO asked for all the pay slips, bank statement and tax documents for all my job experience I have shown in my assessment document. It was really tough to get pay slips of old organizations and bank statement for salary. I did not submit all the pay slips.
      As it was saying in the mail's document of CO, that I can upload the color scanned copy and on that case I do not need to submit the notary attested. So, i did the upload of color scanned copy of all the docs. WILL IT MAKE ANY CONFUSION to CO, as my all other documents, which was submitted before was attested by Notary.

    Thanks a ton for this blog with such systematic information. I have a query as below and will be great if you could sort it out:
    I have received invitation to apply, however I have not received my PCC yet. Is there a facility to apply for VISA with all other documents and upload my PCC next week when I receive it or I am allowed to upload documents at once and then have to wait for CO to request further documents?

    I may sound silly but I want to ensure to receive my PR as quickly as possible.

    I have applied for SC 189 on 13th November 2013 and uploaded the documents there after. I am from India and currently works in New Zealand. I have included my husband who lives in India in my application. Our documents status changed to recieved on 27th Nov 2013. As my husband had been in australia as a part of his studies he hasnt done the medicals earlier nad the link showed that case officer would contact you if medicals is required. After few days link appeared for his medicals and documents to prove relationship has been asked but not by the case officer but via immi account. We have done medicals and uploaded all the documents on 1st week of dec and on 6th Januray 2014 the progress of that documents showed received. We have not received any mails from CO since we lodged visa. What would be the reason for the delay and wht you think about our case? Please give us a reply.

  22. hi am shakeel i get my EOI on 3rd dec 2014 and i submitted visa 189, i uploaded all documents and done wid medical as well. up till now CO is not being assigned.can any body tell me i am on my student visa as well and got Bridge visa A, my student visa will xpire end of this year 31 dec 2014, but i dont want to study. if i cancel my student visa my bridge visa will also be cancelled? is dat true? and for how long my case officer will be assigned?

    It cleared some queries i had definitely.

    I am a Quality Assurance Engineer and i want to apply for 190 - state nominated visa.

    Now how can i know if the limit for this category has reached or not.

    How would i know what chances i have of getting the invitation from the state/territory.

    I was thinking i will not specify a specific state and would choose for all. That way it will increase my probably of being sponsored/nominated by some state.

    And say it has reached for this july-june ,will my EOI still be valid and will they have it in the queue for the coming year or will they discard it for that year as they have reached the limit.

    Please help.

    1. I have PAN CARD WHERE photo date of birth is mention
    2. I have affidavit as birth declaration
    3. School leaving certificate where date birth is mention

    which document i should use for birth proof or shall use more than one documents

    I have received invitation to apply for 189 and have submitted all documents except for medical. I had done medical exam for my 485 (temporary residence application) and also did chest x-ray which is needed for PR at that time since i knew i will be applying for PR shortly. My medical is still valid as its validity is one year. The following comments is written on my immi acount page:
    "The health examinations required for this applicant have not yet been determined. Your case will be referred to a case officer to determine if further health is required. This page will be updated with advice regarding whether health examinations are required to be undertaken. Please note that this will not occur until a case officer investigates your case in line with published processing times for the visa that you have applied for."

    Now should i wait for the CO to be allotted to me and then submit my medical receipt or should I submit it now to speed up my application.
    Normally how much time it takes before a CO is allotted to an application?
    If people can reply below with their experiences it will be very much appreciated.

    I am currently on student visa I submitted my 189 visa on June 2 . I uploaded all docs and done medical as well still no reply. How long it will take? The other problem is my other course is started from this July 14 th is it possible to skip this course and going for a bridging visa ?

    I applied for 189 in October 14 and granted BVA in November 14.
    No Communication after that from the department.
    I submitted my form 80 and all the documents when logged visa application but I was not working at that time.
    I started working after 2 months.
    Should I update this information on my file ? if yes, how to do it ?

    if ur case officer contact you and what do they ask usually?

  29. Hi, I have lodged my application for 190 on the 7/11/16. She requested further documents on the 15/11, which I submitted promptly, the auto email replied that she would get back to me within 6 weeks. I have not heard back from her since then. I called last week to make my case urgent (I'm 35 weeks pregnant) and he said I could not speak to her, but he phoned through and put across my case - 1 week later still no reply. I will be left without any Centrelink payments (despite dad to my baby being aussie)if it does not go through. I am very stressedout in a time I should be focusing on my babay. Can you give me any further advise on what to do please? Thank you!!!
